Sample Acceptance Policy

This Sample Acceptance Policy outlines the criteria under which Cannabis Analytic accepts or rejects samples. If the criteria listed below are not met, processing of the samples may be delayed. If a sample does not meet the acceptance criteria, Cannabis Analytic will not be able to have your product tested.



Sample Submission Restrictions:
Cannabis Analytic will not accept marijuana or marijuana product samples from any individual or entity not authorized to possess marijuana.

Data Handling for Non-Compliant Samples:
If a sample does not meet the acceptance criteria, it will be flagged, and a case narrative will be provided, detailing the nature of the deviation. Samples that are non-compliant must have written authorization to proceed.


Chain of Custody Requirements

The following information must be included for each sample submission:

  • Unique client sample identification
  • Date and time of collection
  • Description of the cannabis or cannabis product , including amount, strain, and batch number
  • Analysis requested
  • Sampler’s name
  • Marijuana Only) Dispensary information:Name, registry ID, dispensary agent, or qualifying patient/designated caregiver submitting the sample
  • Contact information
  • Any additional comments
  • Signature of relinquishing party and the date and time samples were transferred
  • Name of lab agent receiving the sample
  • Date of acquisition
  • Test dates: Include the date of each test and the date of the test results

Sample Temperature:
The sample temperature upon receipt should match the sample matrix (e.g., ice cream should be submitted at < 0°C). State law does not require specific temperature criteria for all samples, but sample intake temperature will be checked if applicable.

Packaging Requirements:

  • All samples must be submitted in accordance with your state requirements. All final products must be submitted in their retail packaging.
  • Raw material producers, qualified patients, and designated caregivers should ensure the sample containers are suitable for maintaining sample integrity.
  • Samples must be labeled with unique identification using indelible ink on water-resistant labels, which must match the Chain of Custody form.

Sample Quantity:

  • Must provide no less than 16 grams of sample for compliance testing and record keeping (amount will vary dependent on the lab chosen).
  • Qualified patients and designated caregivers should confirm the required sample amount before submission.

Sample Condition:
Samples must be received in good condition, without visible signs of damage, tampering, or contamination. Damaged or compromised samples will be rejected.

(Marijuana only) Trip Plan Requirements:

In order to remain compliant transporting medical marijuana or marijuana products to the laboratory, Cannabis Analytic requires a trip plan which will be provided to you before accepting the sample.

Pesticide Treatment Disclosure:

If you are aware of any pesticide treatments used in or around the growing, producing, or storage locations of the cannabis products, or if pesticides were used on pests that may have been exposed to the submitted cannabis products, this information must be noted on the Chain of Custody.
